As soon as you contact us via our website (www.cutitshort.video), we receive information about you (Visitor). When you purchase a Subscription to our Services (Client), or create a (linked) user account (User), you provide voluntarily certain personal data in connection with rendering access to our web-based Client Portal (https://cutitshort.getzendo.io).

In this document, we explain what information we collect and what we do with that information.

1. When does this privacy statement apply?

This privacy statement applies to all personal data that we process and to all domains related to us. This concerns the personal data of everyone who has ever had contact with us and everyone who has ever purchased or used our web-based services, such as Visitors, Clients and Users. Personal data is all data that can be traced back to you as an individual, such as your name, email address, company name, VAT number, client number. If you want to know more about personal data, please visit the website of the Dutch Data Protection Authority.

2. Who uses your data?

Cut It Short is responsible for the website www.cutitshort.video and the operation and management of the services through the Client Portal https://cutitshort.getzendo.io and therefore the responsible organisation for the use of your personal data as described in this privacy statement. 3. Whose data do we use?

We process the personal data of everyone who has had contact with Cut It Short or everyone who has ever purchased and/or registered as user of Cut It Short web-based services and tools. These include Visitors, Clients (private or business), Users, and contact persons of our Partners.

4. How do we get your data?

We receive the data directly from you as soon as you:

• contact us via our website (www.cutitshort.video);

• purchase a Subscription to our Services including access to our web-based Client Portal 
(https://cutitshort.getzendo.io);

• create a (linked) user account to our web-based Client Portal (
https://cutitshort.getzendo.io).

You may also voluntarily provide additional personal data when modifying your account profile on our web-based Client Portal (
https://cutitshort.getzendo.io)

5. What data of you do we use?

From Visitors, who contact us via the website we collect and use:

• Contact information: name, e-mail address;

• Other information (may or may not include personal data): request related information. From all Clients and Users of our Services, we use the following data:

• Contact information: name, e-mail address, client number, postal code, country;

• Company details if needed: company name, VAT ID and other tax identification number;

• Information regarding payment and use of the Subscription Services: date of registration within the Subscription Services, purchase history information, including frequency and duration, and records of communication and feedback by Clients and Users regarding Subscription Services;

• Details about your transactions with us: including any payment methods you use (no card details are processed by us, all transactions are completed either by your bank, Stripe and/or Zendo, please refer to their terms);

• Information about Video Projects (may or may not include personal data): Video and Audio Footage, other materials, video preferences and recurring elements, records of communication and feedback by Clients and Users regarding Services and Video Products delivered.

Other optional data that Clients and Users may voluntarily add to the Client Portal are: (access restricted to the Cut It Short Team, and not publicly viewable)

• optional address information including street, building number, state;

• profile photo;

• links to social media profiles.

We may ask Clients and Users to complete surveys that may be used for research and to improve the Subscription Services, although Clients and Users have no obligation to respond to them.

6. What do we use your data for?

We keep the collection of your personal data to a minimum, and only collect what we can not do without. We only use your data for the following purpose for which we are allowed to use it:

• We use your data to deliver the Subscription Services, complete online transactions, and administer Visitors’, Clients’ or Users’ inquiries.

• We may use general information on your use of the Subscription Services for statistical analysis and product development.

• When necessary, we will disclose pertinent data to relevant government or law enforcement officials to satisfy laws and regulations that apply, to establish one’s liability when Cut It Short Terms and Conditions of Services are violated, or in response to lawful requests by public authorities.

7. How long do we keep your data?

We keep your personal data for as long as we are required to do so by law and for as long as necessary for the purpose for which we use your data. For example, as long as you are a Client with us, we store your data according to the statutory retention period of seven years. After that, we only keep your essential data for statistical purposes and to handle any complaints or legal matters.

When you cancel your subscription, essential personal data will be retained for the statutory retention period to handle complaints and legal matters. All Video Project related data, except for Cut It Short delivered final Video Project files, will be deleted within 14 business days from cancellation of your Subscription to our Services.

8. Who do we share your data with?

We use third-party applications to manage Subscription payments, Client Subscriptions, as well as Video Projects and communication. Therefor we share your data, only for predefined purposes required to run our services. We only do this if

• you are a Client of ours;
• you are a User in our Client Portal.

When using our Services, you agree that we may share your personal information with:

• Anyone who works for us when they need it to do their job;
• Any organisation which supports any of our services, when they need it to offer those services, you also agree to their terms. That includes:
      o Zendo (more on privacy policy and data processing: https://getzendo.io/privacy-policy & https://getzendo.io/terms-of-service);
      o Stripe (more on privacy policy: https://stripe.com/en-nl/legal/privacy-center);
      o Database storage;
      o Video processing software;
      o Video proofing tool;
      o Online File Transfer agents.
• Anyone who you give us explicit permission to share it with.

We’ll also share it to comply with the law; to enforce our Terms and Conditions or other agreements; 
or to protect the rights, property or safety of us, our Clients or others.

9. Where do we store your data?

We process and store your data within the European Economic Area. In some cases, we might transfer and store the data we collect from you somewhere outside the EEA. Unfortunately, the rules in those countries do not always offer the same protection of personal data as in the Netherlands. People who work for us or our suppliers outside the EEA might also process your data. We may share data with organisations and countries that:

• The European Commission say have adequate data protection.
• We’ve agreed standard data protection clauses with.

10. How safe is your data with us?

We have done a lot to protect your data as well as possible, both organisationally and technically. We use secured systems and various means of communication to ensure that your data does not end up in the hands of others. We also ensure that your data is only used by people who have received permission from us. If you have any questions about the specific method of securing, please contact us. When we share your data with others, they are also obliged to treat it with the same care as we do. If you notice that this is not the case, please let us know.

11. What are your rights?

Because we use your personal data, you have various rights. We have listed these rights for you:

• Right to information. Receiving information about what data we collect about you and how we handle your data, detailed in this privacy policy statement.

• Right to access. Viewing the data we hold about you.

• Right to correction. Asking for correction of incorrect or incomplete information.

• Right to object. Indicating wishes to receiving e-mails from us about specific notifications.

• Right to data portability. Asking for a copy of the digital data we have about you and to 
transfer that data to another organisation if you wish.

• Right to restriction. Asking to limit the use of your data (i.e. only storing, not using it).

• Right to be forgotten. Asking to delete all traceable data we have about you. In some cases, 
we cannot or may not yet delete your data (for example, due to legal or taxation laws).

• Right to submit a complaint. Submitting a complaint about the way we handle your data 
(send an email to info@cutitshort.video. When complaints are not resolved satisfactory, the Dutch Data Protection Authority can be contacted. Of course, we hope that it does not come to that, but if it’s necessary you can also go to court. In that case, the court in the place of business of is the one which will handle your complaint

12. What rules apply to this privacy statement?

Our privacy statement must meet several conditions. These conditions can be found in particular in the Dutch (and European) Data Protection Regulations. In addition, the general rules that apply under Dutch law apply to our privacy statement.

13. Which cookies do we use?

Currently, we do not use any cookies on our website.

Cookie policies related to the third-party applications used to run our Services can be found on their 
websites (more information in section 8).

14. What do we do with data of minors?

We do not target minors, i.e. persons under the age of 18, for our Services. If you are a minor when using our Services, we assume that you have received permission from a parent or guardian to use our Services.

We’ll post any changes we make to our privacy statement on this page and, if the changes are significant we’ll let you know by email.
